In the case of the Cultural Heritage projects, there are different metadata schemas aimed to support the efficient creation, storage and distribution of content and digital assets. But the use of these metadata schemas, and the software tools that make their use and deployment possible, are sometimes restricted to well-limited areas. As an example, the EAD schema is widely used by archivists for describing fonds and records, TEI is mainly applied for encoding textual corpus, and METS is bounded to the digitization of ancient books. A major permeability and reuse of metadata schemas and tools in different contexts is needed, as information professionals and user communities can leverage their capability to exchange and disseminate assets, gain independence from proprietary software solutions and platforms and make possible an unlimited, global access to our communities’ Cultural Heritage. This paper describes the development of a technical solution that integrates the use of EAD with METS for the digitization and description of archival records. But the possibilities of EAC-CPF go beyond the control of authority records and access points, and this standard constitutes a relevant milestone in the definition of a complex archival information system made up of interconnected, cross-linked records. Based on eXtensible Markup Language, EAC-CPF makes possible the design of semantically rich browsing experiences that give access to distributed description of records and to the detailed data of the persons, corporate bodies, or families that created them. This paper presents a collaboration framework for archival information systems that exploits the relationships built between finding aids and shared context and authority records encoded in EAC-CPF. The proposed architecture is built on top of a set of software components that interact using open information retrieval, content aggregation, and semantic data standards. On top of this architecture, different user-oriented solutions can be built to browse and explore the contents of the aggregated collections. One of these applications is a navigational aid or topic map that serves as a semantically enriched access layer and ensures the location of the records held by different archives. The proposed architecture can be applied to solve different information access challenges that require a single point of access to distributed data. This article was inspired by an initial survey conducted by one of the authors. The results led to a broader survey and a twenty-year literature review surrounding EAD and online finding aids. The authors developed a twenty-five-question survey to reach a broader audience and delve deeper into the initial questions. The purpose was to answer the following questions: Is there a specific year or time period when a mass adoption of the standard can be identified? What factors influenced whether or not an institution adopted the standard? To what extent has technology influenced the usage of EAD? By surveying archivists across the United States, we gathered their input as to why they did or did not use EAD and how changes in technology and tools influenced their adoption and usage of EAD over the past twenty years. In this case, the problem at hand is to combine data coming from a network of archives in order to create an interoperable data space which can be used to search for, retrieve and disseminate content in the context of archival-based research. The central aspect of the work described in this paper is the assessment of the role of the Encoded Archival Description (EAD) standard as the basis for achieving the tasks described above. We have worked out how we could develop a real strategy of defining specific customization of EAD that could be used at various stages of the process of integrating heterogeneous sources. We have developed a methodology based on a specification and customization method inspired from the extensive experience of the Text Encoding Initiative (TEI) community. In the TEI framework, one has the possibility to model specific subsets or extensions of the TEI guidelines while maintaining both the technical (XML schemas) and editorial (documentation) content within a single framework. This article documents the initial steps toward developing a shared authority tool for a collective of cultural institutions with shared collecting affinities, whether those affinities are geographic, thematic, or otherwise.
